Question 1

How do you decide which business process should be automated first?

Accepted Answer

We look for work that is repetitive, rule-driven, time-consuming, prone to manual error, or dependent on repeated movement between systems. Volume alone is not enough. Process stability, exceptions, business impact, system access, and how frequently rules change all help determine whether automation will simplify operations or simply automate an unstable process.

Question 2

How do you choose between workflows, RPA, APIs, and AI?

Accepted Answer

The existing systems usually determine much of the answer. APIs work well when applications expose reliable interfaces. Workflow automation coordinates events, approvals, and connected tools. RPA can handle repetitive interface-based work where direct integration is limited. AI is useful when the process involves language, documents, judgment support, or variable information. Complex processes may use several together.

Question 3

What parts of a process should remain under human control?

Accepted Answer

Steps involving judgment, unusual exceptions, sensitive decisions, irreversible actions, or insufficient confidence may be better kept with a person. We define those boundaries during process design rather than trying to maximize automation percentage. A useful automation removes unnecessary work while making it obvious when and why human involvement is required.

Question 4

Can you automate processes that depend on legacy software?

Accepted Answer

Often, yes, although the implementation depends on how the software can be accessed. Where APIs are unavailable, RPA, controlled UI automation, file exchange, database interfaces, or integration layers may provide alternatives. We first assess how stable the application and workflow are because automating a fragile interface can create a new maintenance problem.

Question 5

How do you handle documents that still require manual review?

Accepted Answer

Document processing can combine OCR, extraction, classification, validation rules, confidence thresholds, and human review. Information with sufficient confidence can continue automatically, while uncertain or business-critical fields can be routed to a person. This creates a practical middle ground between fully manual document handling and blindly trusting automated extraction.

Question 6

How do you know whether an automation is still working after launch?

Accepted Answer

Automation needs operational visibility because processes, systems, APIs, and business rules change. Depending on the solution, we can track execution status, failures, exceptions, queue behavior, integration responses, and human interventions. Those signals help distinguish a genuine process exception from an automation that needs adjustment as the surrounding environment changes.
